Administrative Assistant/Coordinator

Objective:

  • Performs administrative duties for managers and department professionals requiring some knowledge of company policies and procedures. Work requires some analysis and use of initiative and independent judgment. May make contacts of a sensitive, complex, and sometimes confidential nature both inside and outside of company.  Reports to Finance & Administration Manager.

Essential Duties and Responsibilities:

  • Reception duties
  • Customer service support ticket triage and follow-up
  • Service call dispatching
  • Administration duties such as filing, putting cheques in order for bank reconciliation purpose.
  • Mailing customers’ invoices and statements.  Mailing cheques to suppliers.
  • Some basic accounting data entries and verifications (related to suppliers bills)
  • Scanning and copying documents base on needs.
  • Coordinate boardroom and car bookings
  • Ordering office supplies
  • Supervision of office maintenance
  • Knowledge of Word, Excel, Windows and Outlook is necessary.
  • Many other “small jobs” will come up unexpectedly and at times the administrative assistant will be asked to help with those duties.

Requirements:

  • Certification or diploma in secretarial or related fields
  • Prior 2 years experience in similar job

Senior and Intermediate Project Managers

As part of the Openface team, you will work with staff located in Montreal, Toronto and Thailand. You will have significant flexibility as well as significant demands on your time and on your skills. You will be expected to achieve ambitious objectives and will be expected to manage your time and the time of your team members in a way that is efficient, effective and profitable. Travel to Thailand approximately once a year for two weeks or more is necessary, and the right candidates will see this as an opportunity rather than an obligation.

The senior and intermediate project managers we are seeking will be responsible for the design, direction and delivery of web-based software projects to clients from a variety of industries. Primary role is the coordination and management of project teams: allocating resources, following up on tasks, ensuring the flow and efficiency of projects handled by different departments, communicating with the client and ensuring the successful completion of the projects.

Advancement to the director level is anticipated for senior project managers with the combination of drive, experience and skills to succeed.

Project Management responsibilities include:

- Project Management

  • Direction and supervision of all stages of the software lifecycle – from specifications to deployment to final signoff
  • Client Management – client communications and effective management of client expectations
  • Resource Scheduling
  • Controlling Project Budget

 - Sales Consultation 

  • Consulting with clients, researching requests, and proposing solutions

The ideal candidate is an excellent communicator and manager who is able to speak and write both French and English. Fluency in a third language is an asset.  Candidates should have one or more years of project management experience. They must demonstrate leadership skills and have experience managing project teams. The positions require strong attention to detail, while simultaneously being able to keep an eye on the big picture. They should possess the ability to trouble-shoot, problem-solve, and avoid problems by anticipating issues/ requests before they arise.

Knowledge of web technology and software applications is required.  PMP certification, demonstrated project management experience and acumen as well as a university degree in a pertinent discipline are definite assets.

Senior Product Manager
Software

The Senior Product Manager is responsible for the development and evolution of the company’s software products including content management, e-commerce and CRM tools. Working with a team of project managers, graphic designers and developers, the product manager is responsible for driving new software development and mobilizing our existing suite to provide custom software solutions for our clients. Responsibilities include R&D, system architecture, user interface design, strategic bundling of products, developing product specifications, creating technical and user documentation, and code review of work of development team. A high-level of attention to details is required to ensure quality and consistency of the product offering.

The product manager will provide consulting expertise to the sales team, and give the final approval on contracts and cost estimates. The candidate will demonstrate a “big-picture” vision in responding to market and client demand to ensure optimal solutions to clients and optimal profitability to the company.

The ideal candidate has five years of experience or more in programming, data base design and/or developing system or software architecture. Strong user interface design skills are essential. You have good communications skills and a track record of successfully managing both people and projects. You are able to set and achieve objectives with a minimum of supervision. You have a degree in Computer Science, Computer Engineering or the equivalent. Consulting experience is a strong asset. Knowledge of Internet technologies and programming languages such as PHP and ASP.NET are essential. Strong written English and French communication skills required.

Junior and Intermediate Customer Service Representatives
ISP/VoIP

You will be expected to achieve ambitious objectives and will be expected to manage your time in a way that is efficient, effective and profitable.

Customer Service Representatives are the primary contact point between clients or prospective clients and the company. The customer service representative fields calls and emails, creates a client ticket, assesses the client need, request or problem, judges the level of urgency and either intervenes personally to serve the client or refers the matter to the appropriate internal resource. The Customer Service Representative subsequently monitors the progress of the matter to resolution, following up if necessary with the internal resources and the client.

Customer Service representatives have the following skills and aptitudes

  • Excellent communications skills and the ability to interact with people effectively, both orally and in writing
  • Excellent judgement
  • A good understanding of Internet technology and systems
  • Good problem-solving abilities
  • The ability to speak and write English and French
  • The ability to work as part of a team

Knowledge of web technology and systems is required. Demonstrated pertinent education, training or experience are definite assets.

Customer service representatives can use this entry -evel position to progress into more senior sales, technical or service functions as they gain experience, judgement and skills.
